    How we work it out

    No hidden maths

Each calculator uses only the numbers you enter and one assumption you can change. The steps below follow the calculator you’ve picked.

    01

    Add up the admin

People doing site admin × hours each spends on paperwork gives your team’s total admin hours a week.

    5 people × 10 hrs = 50 hrs a week

    02

    Take off 40%

We assume Insite removes 40% of that time: no retyping, printing, filing or chasing. It’s a cautious starting point. Change it under “Adjust assumptions”.

    50 hrs × 40% = 20 hrs saved a week

    03

    Value it over a year

Hours saved × 46 working weeks × hourly cost, rounded to the nearest £10. Divide the hours by 8 for working days back.

    920 hrs × £30 = £27,600 a year

    01

    Cost a day

Workers × minutes lost per worker each day ÷ 60 × average hourly wage gives the daily cost of time paid for but not worked.

    75 × 12 min ÷ 60 × £19 = £285 a day

    02

    Scale to a site year

Daily cost × working days per year (250 by default). Weekly is daily × 5, monthly is the annual figure ÷ 12.

    £285 × 250 days = £71,250 a year

    03

    Take back 60%

We assume digital sign-in recovers 60% of that time: no queue at the gate, exact clock times and a live headcount. Change it under “Adjust assumptions”.

    £71,250 × 60% = £42,750 back a year

    01

    Value of variations

Contract value × the share of work that changes through variations.

    £5m × 8% = £400,000 of variations a year

    02

    What slips through

The share of that value never recovered: done but not claimed, priced late, or lost for lack of evidence.

    £400,000 × 15% = £60,000 unrecovered

    03

    Win back 25%

We assume Insite helps recover 25% of it with time-stamped photos, sign-off and a live tracker for every change. Change it under “Adjust assumptions”.

    £60,000 × 25% = £15,000 back a year

    Frequently asked questions

    How accurate is this?

It's an estimate built only from the figures you enter and the one assumption in each calculator. It doesn't know your processes, so treat it as a guide. In a demo we can look at your actual forms, sign-offs and sign-in records and firm it up.

How do you estimate minutes lost at sign-in?

You set it. It covers queuing at a paper register, late starts and early finishes that go unrecorded, and times rounded to the nearest quarter hour. Ten to fifteen minutes a worker a day is common on busy sites; use your own figure if you have one.

Where does the 60% for sign-in come from?

It's a cautious share of that lost time that digital sign-in recovers: no queue at the gate, exact clock times instead of rounded ones, and a live headcount so late arrivals are visible. You can set it from 20% to 80% under "Adjust assumptions".

Where does the 40% come from?

It's a cautious starting point for how much admin goes when forms, sign-offs and records move from paper to Insite: no retyping, printing, filing or chasing. Some teams save less, some save more, so you can change it.

Where does the 25% for variations come from?

It's a cautious planning assumption, not a measured result. With time-stamped photos, sign-off and a live tracker for every change, fewer variations go unclaimed, get priced late or are lost for lack of evidence. You can set it anywhere from 10% to 50% under Adjust assumptions.

    Can I change the assumptions?

Yes. Open "Adjust assumptions" under the sliders in either calculator. The result, the footnote and the share link all update with it.

    What's included in Insite?
